Assignment rules

Vanillasoft doesn't hand out leads in advance. When an agent is ready, the queue serves the next best lead.

Ranked filters

Filters use owner, team, availability, call results, contact fields and your rules, in the order you rank them.

Owner first

Leads an agent owns can come back to that agent.

By area

Location filters limit which contacts each team calls.

By renewal date

A date field can bring a contact back a set number of days before renewal.

If no filter matches
A final priority you set decides the order
If nothing is left
The agent sees that no contacts remain

Follow-up and calling

Agents follow up with calls, email and text sequences, booking and reminders. Call scripts branch on the shopper's answers.

Stopping outreach
Text sequences can stop on a reply. A STOP reply or closing call result ends outreach
Sequence limits
Email sequences send up to 100 a day per user. Text sequences send up to 20 texts over 60 days
Do Not Call
Vanillasoft says its compliance engine works to prevent violations. Registry sources aren't named
Consent
Lead mappings can carry opt-in fields, but keeping proof is your job
Handoff
Book appointments for outside agents, or send leads out on a trigger

Client and policy records

Each contact profile keeps its call and email history, attachments and custom fields, and company details sit on the contact. CorporateView groups contacts from the same company and shows the group's calls together. Policy details can be stored in custom fields or custom tables.

Renewals, retention and cross-sell

A renewal date field can bring a contact back into the call queue a set number of days before renewal. Email sequences can start from a date or a call result.

Sequences can also add or drop contacts by call result, opens, clicks or the tone of a reply.

Corrections

Vendors change their pricing all the time and they don't email us when they do. So if you see a price on here that's gone up, a plan Vanillasoft quit selling or a contract term that reads different now, let us know and send the link to the page where Vanillasoft has it. Somebody here pulls up that page and checks it before we change anything on ours.
