MedicarePRO CRM review for insurance agencies: pricing, lead routing and integrations

By the IAT editorial team | Updated October 9, 2026

MedicarePRO CRM keeps a Medicare agent's leads, clients, policies and commissions on one record. Leads come in from forms, portals, imports and Medicare lead sources, and the record carries drugs and doctors into quoting and enrollment tools.

The Agent plan costs $45 per month and the Agency plan $55 per month, and the first 30 days are free.

Our take

MedicarePRO is a good match for a Medicare agent or small agency that wants leads, enrollments, policies and commissions together, with published monthly prices. SunFire, Connecture, HealthSherpa and Spark links save retyping.

Solo agents need only the Agent plan. Agencies with downline agents pick the Agency plan for three staff members.

Leads are assigned by hand, with no rotation or rules.

Pros

  • Published monthly prices and 30 days free
  • Links to SunFire, Connecture, HealthSherpa and Spark for Medicare quoting and enrollment
  • Drug, doctor and pharmacy lists stay with the client
  • Tracks policies, pending business, commissions, overrides and carrier contracts
  • Repeat submissions are added as notes instead of new duplicates

Cons

  • No automatic lead routing or round robin. Leads are assigned by hand
  • Automations are a paid add-on, quoted by MedicarePRO
  • No built-in Do Not Call registry scrub

Good to know before you buy

  • Setup fees, if any, are quoted by MedicarePRO.
  • Texts sent through Quo use Quo credits, even on an unlimited Quo plan.

Getting started

  1. Start the 30 free days

Sign up online for 30 days of full access.

  2. Upload your books

Export each carrier's book and upload the Excel or CSV file. Staff review it.

  3. Connect enrollment tools

Link SunFire, Connecture, HealthSherpa or Spark.

  4. Connect lead sources

Add lead forms, Calendly, Zapier or Medicare Agents Hub.

  5. Invite your downline

Agencies invite agents and share flows, automations and branding.

Support is by phone, email and a help center.

Lead intake

Leads come in from lead forms with your own fields, client portals and imports where you pick the source. Calendly bookings and Zapier triggers such as Facebook lead ads can create leads too.

Ways leads come in
Lead forms, client portals, Excel or CSV import, Calendly, Zapier, a webhook or by hand
Lead sources
Medicare Agents Hub posts lead requests by webhook, and RetireFlo sends survey answers with drugs and doctors. Apollo International is a named lead vendor
Duplicates
A repeat lead becomes a note on the existing record and fills in missing phone, email or birth date
Merging
Merge profiles by hand, choosing which fields to keep

Assignment rules

By hand

Pick an agent for one lead, or select many leads and send them to one agent.

Upline to downline

Agents accept leads their upline sends them, in bulk if needed.

The agency Lead Tracker shows each downline lead with its source and status, and a button to reassign it.
Limits
Clients can only go to agents inside the agency
Visibility
Tasks and records follow the agency hierarchy

Follow-up and calling

Agents follow up with tasks, email, texts, calls, booking and reminders. The lead stays on one record through enrollment and the policy.

Texting and calling
Through Twilio, Quo (formerly OpenPhone), Zoom Phone and Esendex, with ringless voicemail by SlyBroadcast
Opt-outs
Contacts marked unsubscribed, do-not-call or do-not-mail are skipped by automations. Bounced email is suppressed
When follow-up stops
Deleting a contact stops queued emails, texts, letters and voicemails
Do Not Call
No national registry check

Client and policy records

MedicarePRO is the working record for each client and their policies. Carrier book files, commission statements and enrollment tools can create or update them.

Renewals, retention and cross-sell

Annual review

From October through March, active and pending policies carry a plan-year review flag.

Book checks

Reconcile Book finds clients missing from a newer carrier file.

Cross-sell

Questionnaires ask clients about coverage they don't have, and answers can start automations.

Corrections

Vendors change their pricing all the time and they don't email us when they do. So if you see a price on here that's gone up, a plan MedicarePRO CRM quit selling or a contract term that reads different now, let us know and send the link to the page where MedicarePRO CRM has it. Somebody here pulls up that page and checks it before we change anything on ours.
