Agency systems such as AgencyZoom and Applied Epic are marked in blue. IONOS needs a 3-year term for its lowest prices, Intermedia needs at least 3 mailboxes and Rackspace adds an account minimum it doesn't publish. Zoho's $0 is its free plan for up to 5 people, and its month-to-month option covers Workplace plans only.

Zoho CRM is a general CRM, not an agency system. Amazon WorkMail takes no new customers and closes in March 2027. eDiscovery means searching old mail for a claim or audit.

Questions to ask before you buy

  • Will my AMS still file email?

    Most AMS add-ins run in desktop Outlook against Exchange or Microsoft 365. Ask your AMS vendor which providers it supports before you move.

  • How will we share info@ or claims@?

    Some providers include shared inboxes at no cost. Others make you pay for a full mailbox or forward mail to each person.

  • Do we need legal hold?

    Legal hold stops anyone deleting mail tied to a claim or audit. It often needs a higher plan or an archive add-on.

  • Who keeps a backup?

    Most providers protect against their own outages, not against a user deleting mail. Ask how long deleted mail is kept and whether a backup costs extra.

  • What happens when a producer leaves?

    Check that you can lock the mailbox, keep the mail and forward new messages without paying for an empty seat.

  • How long is the contract?

    Yearly and multi-year terms lower the price but are hard to leave. Month-to-month plans cost a little more.
