TLDCRM review for insurance agencies: pricing, lead routing and integrations

By the IAT editorial team | Updated October 9, 2026

TLDCRM (Total Lead Domination) is a CRM and dialer for health, Medicare and life agencies and call centers. Leads from vendors pass duplicate and Do Not Call checks, and inbound calls go to agents licensed in the shopper's state.

The Agency Plan is priced per seat with a 15-seat minimum. Calls and texts are billed by use.

Our take

Pick TLDCRM if you run a health, Medicare or life sales floor that buys leads and live calls from several vendors. It shows which vendor pays off and blocks sales by unlicensed agents.

The dialer, policy tracking and vendor reports sit in one system. The 15-seat minimum and setup fee rule out small agencies.

Pros

  • Duplicate checks on upload and across the account, with records you can use to dispute a vendor charge
  • Inbound calls route by state and license, and a sale is blocked when the agent isn't licensed in the shopper's state
  • Do Not Call screening through DNC.com, with Blacklist Alliance and White List Data
  • Vendor reports by geography, status and conversion, plus cost per sale by agent
  • Policy tracking from quote to submission, renewal and commission
  • Single sign-on, multi-factor login and audit logs

Cons

  • A 15-seat minimum, so at least $1,500 a month, plus a $1,000 setup fee
  • Calls, phone numbers, texts and text registration cost extra
  • No free trial
  • No direct agency management system connection

Getting started

  1. Book a demo

TLDCRM reviews your workflow and builds a launch plan.

  2. Pay the setup fee

It covers account setup and first training for admins and agents.

  3. Register texting

Brand and campaign registration (10DLC) must clear before texts go out.

  4. Add vendors

Give each vendor source hourly, daily, weekly or monthly caps.

  5. Train the floor

Missed training or meetings can push launch back a week or more.

CSV uploads can't be undone once processed, so test with a small file.

Lead intake

Vendors post leads straight into TLDCRM through its API. You can also upload CSV files, parse email, receive SFTP files, take inbound calls or type leads in.

Volume caps
Hourly, daily, weekly and monthly caps per vendor source
Duplicates
Checked across the account or within one vendor. Reject them or accept and flag them
Advanced Dupe Guard
Also checks your own records and lists of past sales
Vendor disputes
Duplicate records back up a dispute over a vendor charge
Vendor availability check
A vendor can ask whether an agent is free before sending a call

Assignment rules

By state or license

Inbound calls route by the shopper's state, ZIP or area code. A sale is blocked when the agent isn't licensed there.

Call groups

Calls go to the highest-ranked free agent first, then the one who has waited longest.

By hand or workflow

Managers assign leads, or workflows do it.

Missed direct calls
Go to voicemail or an override group, as you set it
Who gets credit
Each lead keeps its creator, assigned agent and converting agent

Follow-up and calling

The built-in dialer, TLDialer, works from the lead record and saves recordings, notes and call outcomes there. Tasks, email, texts and callbacks cover the rest.

Do Not Call
DNC.com screens federal, state and your own lists
Litigator checks
Blacklist Alliance flags known litigators, and White List Data checks contact data
Consent proof
TrustedForm certificates are supported
Opt-outs
A text opt-out adds the number to the dialer Do Not Call list
Calling limits
Up to 3 calls a second per user on inbound accounts and 6 on outbound

Client and policy records

Each client record holds the contact, spouse and dependents. Policies carry their stage, status, carrier, product, dates, documents, beneficiaries, agents and commission links.

Renewals, retention and cross-sell

TLDCRM tracks when each policy comes up for renewal. Service requests can be set to open a set time from a date, filtered by plan, carrier and product.

A persistency report shows which policies stay in force. Klaviyo campaigns can reach clients who haven't been contacted in a while.

Medicare and health

Policies move through quote, sale, verification, submission, effective, rewrite and renewal stages. A Turning 65 flag marks clients aging into Medicare.

Call recordings attach to the lead. The dialer can warn agents when a client has been on hold too long under CMS rules.

Commissions

Carrier commission files are mapped in Excel and uploaded with TLDCRM staff help. Each upload is compared with the last one, and missing policies are flagged.

Payment records cover initial, residual, chargeback, bonus, spiff and advance payments.

Corrections

Vendors change their pricing all the time and they don't email us when they do. So if you see a price on here that's gone up, a plan TLDCRM quit selling or a contract term that reads different now, let us know and send the link to the page where TLDCRM has it. Somebody here pulls up that page and checks it before we change anything on ours.
