Clients and policies

A client record holds contacts, policies, quotes, submissions, forms, attachments, emails and diary notes. Each policy keeps its full history as a series of transactions, from new business through endorsements, renewals, cancellations and audits.
- Related clients
- Group a business with the owner's personal account
- Commercial accounts
- Schedules of drivers, vehicles, properties, equipment and workers
- Custom fields
- User-defined contact fields that merge into letters
- Several offices
- Separate agency codes for offices or entities, with search across them and combined financials
Carrier downloads
- Download routes
- IVANS, the network most carriers use to send downloads, and TEAM-UP. Progressive and Mercury use their own download tools
- Policy downloads
- Personal and commercial, as AL3 files, the carrier download format. Staff import them as a daily task
- Commission downloads
- An add-on. Each statement line becomes an invoice with producer commission and the PDF attached
- eDocs and claims
- ACORD XML eDocs and messages, plus claims downloads that create the claim on the client
- Real-time with carriers
- IVANS Real-Time, also used for appraisal district and DMV lookups
- Unmatched downloads
- Matched files can process with no clicks. The rest wait on a Pending tab for staff to assign
- Download alerts
- Rules alert the producer or CSR to cancellations, big premium changes or schedule changes
- Carrier list
- A dated list of certified download companies on the Agency Systems help wiki
The list has over 2,000 rows as of October 2026, many of them MGAs or other names for the same carrier.
Certificates, ACORD forms and claims
- ACORD forms
- A library of ACORD forms, the industry's standard insurance forms, plus New York State forms. Forms prefill from client data and downloads
- Certificates

- Policy changes
- Endorsements, renewals, rewrites, reinstatements, cancellations and audits
- Renewals
- Dashboards at 30, 60, 90 and 120 days, and a renewal can go out for remarketing without retyping
- Claims
- Claims on the policy with payments and reports. ACORD loss notices come from the policy
Rating and quoting
- Raters that connect
- ACS2000, Evolution, IBQ, PL Rating, Applied Rater, AccuAuto, WinRater and TurboRater

Corrections
Vendors change their pricing all the time and they don't email us when they do. So if you see a price on here that's gone up, a plan Newton by Agency Systems quit selling or a contract term that reads different now, let us know and send the link to the page where Newton by Agency Systems has it. Somebody here pulls up that page and checks it before we change anything on ours.
