HawkSoft review: pricing, downloads and accounting

It fits small and mid-size agencies whose staff work on Windows PCs, with agency data in HawkSoft's cloud. HawkSoft publishes its seat price and base fee, and plans run month to month unless your proposal sets a term.

Our take
HawkSoft fits an independent P&C agency that wants personal and commercial policies, downloads, certificates and trust accounting in one place. It publishes its seat price and base fee, which few agency systems do, and there is no long contract unless you ask for one.
Plan for two things before you switch. Staff need Windows, since the full system is a desktop app, and your books stay in QuickBooks, which holds the general ledger. HawkSoft quotes 4 to 6 weeks to go live after a test conversion of your own data.

- Published retail price of $99 a concurrent seat plus a $100 base fee a month
- Month to month, with no early termination fee

- Over 230 ACORD forms with prefill
- Free final backup of your data when you leave
Cons
- Full features need the Windows desktop app
- General ledger lives in QuickBooks, bought separately
- Setup and conversion are quoted, not listed
- 10 GB of storage a user, more for a fee
- Downloaded commission statements aren't supported yet
- Data may be deleted 30 days after you cancel

Clients and policies

Each client's contact details, policies, log notes, documents and accounting sit together in one file. Any mix of lines can sit on one policy, and a home policy can carry several locations and schedules.
- Commercial accounts
- Hazards, scheduled items, drivers and vehicles, with CSV import and export for long lists
- Custom fields
- Up to 30 custom client fields, plus client and activity tags
- Several offices
- Permissions by office. Books can be merged after an acquisition
Carrier downloads
- Download routes
- IVANS (the network most carriers use to send downloads), TEAM-UP, IMT Group, Ebix, NxTech, Symbience and direct from some carriers
- Policy downloads
- Personal and commercial, retrieved all day through IVANS so staff don't run them by hand. Farm policies download as their own type
- Commission downloads
- The carrier list marks carriers that send direct bill commissions. The Downloads Dashboard doesn't take downloaded statements yet, so import them from CSV or Excel
- eDocs and claims
- From carriers that send them
- Real-time with carriers
- Billing and claims status, policy view, loss runs and payments for supported carriers
- Unmatched downloads
- Flagged on the Downloads Dashboard. Unmatched documents match in one click, and rules can alert staff to premium increases
- Carrier list
- HawkSoft keeps a carrier list on its site, searchable by line and download type
Certificates, ACORD forms and claims
- ACORD forms
- Over 230 ACORD forms, the industry's standard insurance forms, prefilled from client and policy data. You need your own ACORD forms license
- Certificates
- Staff prefill certificates from policy data. With the Self-Service Certificates add-on, insureds issue their own with an emailed code and no password
- Policy changes
- Changes arrive by download. HawkLink fills carrier websites for endorsements and payments and saves a screenshot of the confirmation to the client
- Claims
- Claim records on the client, claims downloads and live claims status for supported carriers
Rating and quoting
- Raters that connect
- TurboRater, EZLynx Rating Engine, PL Rating, QuoteRUSH, Applied Rater, Evolution, ACS, FSC Rater, Quomation and AccuAgency
- How quotes come in
- HawkSoft sends client data out to most personal lines raters. EZLynx gets policy data one way. AccuAgency sends policy data into HawkSoft
- Carrier quoting sites
- HawkLink, a free Chrome and Edge extension, fills carrier quoting sites with client data
Accounting and commissions
Agency bill and direct bill
- Agency bill invoices for premium, taxes and fees, with receipts, credit memos and refunds
- Carrier payables report with check queuing
- Direct bill statements imported or entered, matched to policies and reconciled
- Trust accounting, sent to QuickBooks item by item
General ledger
Not in HawkSoft. Operating accounting and the general ledger run in QuickBooks Online or QuickBooks Pro 2024, which you buy separately. HawkSoft can quote QuickBooks Online at a discount.
- Producer commissions
- Commission rules calculate producer pay, with paid reports and statements
- Payments
- Online payments through partners such as ePayPolicy, RevitPay, Agave and Ascend
- Done for you
- HawkSoft Managed Accounting, a paid service, can run trust and operating books, commission reconciliation and payroll
Budget for QuickBooks too. Your bank reconciliation and month-end close happen in QuickBooks, with balances checked against HawkSoft. Accounting consultants teach that setup during onboarding.

Corrections
Vendors change their pricing all the time and they don't email us when they do. So if you see a price on here that's gone up, a plan HawkSoft quit selling or a contract term that reads different now, let us know and send the link to the page where HawkSoft has it. Somebody here pulls up that page and checks it before we change anything on ours.
