How Much Does Employee Benefits Software Cost?

By the IAT editorial team | Updated October 9, 2026

Three of the 14 benefits platforms here put prices in dollars on their sites. 11 price by quote only.

Two vendors publish a price per employee a month, from $4.50 to $5. Every price is dated October 2026.

Pricing models

Of the three that price in dollars, one charges only per employee in the client group (Insynctive), so the bill grows with the group. One charges only for each person who uses it (Plansight), so the bill grows as you add people. One charges per employee in the client group plus a base fee (BerniePortal), so its bill has a floor.

Published prices by vendor

We list these in the default order built on trust factors. A higher spot is not a quality ranking.

Published fees and pricing terms

Five of the 14 describe fees on top of the plan price. The rest publish none, so they are left out of the table.

Vendors appear in our default order, which follows trust factors and says nothing about quality.

Employee benefits software fees and pricing terms
VendorFees on top of the plan price
BerniePortalBase fee: $25 on Starter, $40 per EIN on other plans. Ask how often the base fee is billed. Carrier Exchange: $0.95 per enrolled employee a month for the first carrier, $0.45 for each added carrier. COBRA: 2% added to the COBRA premium, paid by the member.
Employee Navigator834 carrier files: $0.45 an employee a month on Enhanced Plus and Elite, included on Platinum. The vendor says other fees may apply, so ask for the full list in writing. ACA filing: $5.20 down to $1.60 a federal e-filing, by volume.
Insynctive834 files by EDI transfer are an add-on with no published price.
BusinessolverCOBRA: 2% of the premium, paid by each COBRA enrollee.
PlansightSmartSheetingAI usage: $2 a line of coverage after the trial, billed monthly.

Why rates differ

BerniePortal and Insynctive prices rise with the plan you pick. Plansight's price per user falls as you add users.

Setup and one-time fees

Three of the 14 list a setup, onboarding or other one-time fee, each with a price. Count any one-time fee in your first-year budget.

  • Employee Navigator. New 834 carrier setup: $750 one time to add a carrier that isn't on the preset list.
  • Insynctive. Setup fee: $9 per employee on Comprehensive Benefits Administration, $8 on Smart HR Workflows and $17 on the All-In-One HR Suite.
  • ALEX by Jellyvision. Extra or rush setup round: $5,000 for each setup round beyond those included, or for a rush round.

Contract terms

The contract decides what you pay over time and what it costs to leave. Read the term, the renewal rule and the notice period before you sign. BerniePortal, Empyrean, Insynctive, PlanSource, bswift, Selerix and four more publish no contract terms, so they are not listed.

The default order goes by trust factors. It is not our pick of the best.

Frequently asked questions

How much do benefits platforms cost?

Three of the 14 benefits platforms on this page publish prices in dollars. The most common unit is per employee a month, used by two, with starting prices from $4.50 to $5. 11 price by quote only.

Which benefits platforms charge per person?

Plansight publishes a price per person. BerniePortal and Insynctive charge per employee in each client group instead.

Are add-ons included in these prices?

No. These prices leave add-ons out. Each vendor profile lists them.

Why do so few benefits platforms publish prices?

11 of the 14 set the price in a quote or an agreement, so a number on a website is the exception here. Whichever one you call, ask for the full first-year cost in writing and make sure the setup fees and the contract term are in it.

Where do these figures come from?

They come from the vendors' own pages and are as of the month shown. If a vendor did not publish something we left it out.

How we researched this. We based this page on each vendor's published pricing where available, terms and product pages, reviewed in October 2026, together with our team's experience working with insurance agents and agency owners since 2008.
